GignoSystem Japan, Inc. (the Company) is extremely aware of the importance of personal information protection in a society with advanced information communications; the Company complies with the Act on the Protection of Personal Information and any other such laws and ordinances and is committed to fulfill its obligations for the protection of personal information based on the following policy.
1. Collection of Personal Information
- The Company will collect personal information only by appropriate and fair means.
2. Use of Personal Information
- The Company will use personal information as statistical data for the purpose of providing or improving our services and only for the purposes stated at the time of collection of the personal information.
- Only after obtaining agreement from the person, the Company will use the personal information given, for purposes other than the original stated purposes.
- In cases where the Company shares and uses personal information with business partners, or entrusts the handling of personal information to business partners, the Company will request such partners to strictly manage the personal information and ensure they do not use the personal information for any other purposes.
3. Provision of Personal Information to a Third Party
- The Company will not provide personal information to any third party without the agreement of the person, except in the following the cases:
- If it is required to disclose personal information to a business partner for the purposes stated at the time of collection of the personal information
- If such information is required for the protection of human life, health, or property, and the agreement of the person cannot be readily obtained
- If it becomes necessary by legal ordinance and there is a concern that seeking the agreement of the person may hinder the execution of the relevant legal obligations
- Other cases which are in compliance with the Personal Information Protection Law and any other laws and ordinances
4. Management of Personal Information
- The Company will maintain the accuracy of personal information and manage such data safely and securely.
- The Company will take the appropriate information security measures to prevent unauthorized access, loss, destruction, alteration, leakage or computer viruses.
- The Company will not leak personal information by physical removal of any documents or media, or electronic transmission of any such information outside the Company.
- When the Company entrusts the handling of personal information to a third party, the Company will select a reputable outsourcing company to ensure sufficient safety management measures and make a contract with the outsourcing company to prescribe strict control of the personal information and closely monitor them to ensure the personal information is handled appropriately.
5. Organization and System
- The Company will implement the Personal Information Protection Regulations and all executives and employees will observe them.
- The Company will appoint a person to be in charge of the management of information security and each department will nominate a committee member to be responsible for information security and carry out appropriate management for personal information protection.
- The Company will actively implement in-house education relating to the Personal Information Protection Law, such as conducting appropriate training on personal information for all employees.
6. Response to an Incident
If by any chance, an incident such as leakage of personal information should occur, the Company will publicly report the incident immediately, make every effort to confirm the facts and locate the cause, limit damage to the minimum and take appropriate measures to prevent a reoccurrence of such an incident.
7. Establishment, Implementation, Maintenance and Improvement of the Personal Information Protection Compliance Program
In order to maintain this Privacy Policy, the Company will establish a Personal Information Protection Compliance Program that includes Personal Information Protection Regulations and any other regulations and rules; the Company will implement this program by ensuring that all executives and employees of the Company and any other person involved are fully aware of the program, and the Company will maintain and continuously improve the program.
8. Inquiries including disclosure, correction, termination of use and deletion of personal information
- The Company confirms that a person has the right to request disclosure, correction, termination of use and deletion of their own personal information and when such a request is made, the Company will comply with the Personal Information Protection Law and respond to such a request.
